Secretary, Prospect Development

DUTIES/RESPONSIBILITIES:

Essential Functions

  • Support the office management needs of the Prospect Development team.
  • Maintain the group's ongoing document imaging project; maintain daily processes of imaging new mail and research documentation.
  • Provide data entry updates to the UDO donor database on request (including coding, contact reports, comments, and evaluation entries).
  • Review selected news sources for current articles, obituaries, and information regarding Purdue alumni and donors. Distribute to researchers/Donor Services as needed.
  • Review and process multiple monthly audits (prospect relationship, position code, sunsetting/classification).
  • Review and process daily audits (large and small gifts).
  • Request appeal code and url for new fundraisers and create pledge card template for distribution.

Additional Responsibilities

  • Maintain calendars.
  • Prepare meeting agendas and minutes.
  • Provide continuous improvement suggestions and implement approved procedures concerning office management.
  • Serve as backup to the department's Research Associate.
  • Assist with prospect research projects and other department/development projects as directed.
  • Prepare forms; arrange, monitor, and track travel arrangements and reimbursements for staff members.
  • Reconcile credit cards monthly for all professional staff.
  • Monitor and track subscriptions/purchases; process documentation for payment.
  • Coordinate use of departmental laptops; run software updates.
  • Prepare forms as needed.
  • Assist with Prospect Management as needed.

REQUIREMENTS/QUALIFICATIONS:

Knowledge, Skills and Abilities

  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook (email and calendaring).
  • Working Knowledge of SharePoint (preferred).
  • Excellent verbal and written communication skills, including professional telephone and office etiquette.
  • Ability to work independently and as a team member.
  • Detail-oriented.
  • Excellent organizational and interpersonal skills.
  • Customer-service oriented.
  • Ability to multi-task, work under pressure, handle frequent interruptions, and meet deadlines.
  • Ability to take initiative, identify problems, analyze information, and implement solutions.
  • Must handle confidential information with discretion.
  • Regular attendance is a requirement of this position.

Education/Experience

  • High school diploma or equivalent required.
  • Minimum of two years of secretarial experience.
