Executive Support Manager

Position Summary:

The Executive Support Manager is responsible for providing direct support to President/CEO Executive Leadership, Directors, and Purdue Federal Volunteers.  This position will perform special assignments and conduct administrative tasks on behalf of executive leadership team and the Board.  Responsible for the direction and executive oversight of Board operations as well as board related budgets, meetings and activities.  Maintain corporate files, reports, and policies making them available to examiners, auditors, and staff as needed.  Serve as recording secretary to the board of directors, Committees and CU Channels Board of Directors.  Assist in finding appropriate solutions to member problems that reach this office.  Position requires highest level of confidentiality and accuracy.

Duties and Responsibilities (Essential Functions):

  • Responsible for supporting Board of Directors and Volunteers as follows:
      • Preparing and distributing detailed reports and meeting materials for the Purdue Federal and CU Channels boards and volunteer committees. Serve as recording secretary.
      • Maintain oversight of Board member internal and external communication including the distribution of regulator information.
      • Assist with director application process, member notification, registration, and voting for the Annual Meeting.
      • Maintain Bylaws & Policy Manual.
      • Provide information for auditors/regulators.
      • Manage and coordinate all Board and Volunteer travel.
      • Serves as steward of highly confidential information and acts as a trustworthy liaison between the, Board, CEO and internal/external stakeholders on key matters.
      • Coordinate with Volunteer Development Committee to track Director educational requirements. 
  • Provide Executive Leadership & Administration Support as follows:
    • Support executive leadership staff on various activities including maintaining calendars.
    • Pay invoices, reconcile corp visas and manage executive administration department budget.
    • Coordinate meetings and make conference, travel and lodging arrangements as necessary.
    • Perform research, analyze data and create reports as needed.
    • Handle mail and supplies.
    • Cross train with other admin support staff and provide backup.
    • Support other departments with projects and also event planning.
    • Document and resolve member complaints
    • Manage relationships with partners including Indiana Credit Union League, CUNA, NAFCU and John Purdue Club.
  • Project Work
    • Manage projects as assigned by CEO, Executive Leadership and Board of Directors. 
    • Coordinate and assist in planning the Board Planning Session
    • Plan and execute the Board/Managers’ Holiday Dinner.
  • Management and Leadership
    • Oversee and provide back up for the administrative support/receptionist position.


Knowledge, Skill, and Ability Requirements:

  • Bachelor Degree in Business or other related fields.
  • Minimum 3 to 5 years of executive support.
  • Excellent problem solving skills.
  • Technology savvy and has the ability to trouble shoot issues.
  • Ability to function independently in order to accomplish assigned projects.
  • Proficient in MS Office Suite, and Adobe Pro.
  • Ability to communicate, verbally and in writing, in a professional manner when dealing with employees, members, vendors and company contacts.

Work Environment/Physical Demands:

  • This job operates in a clerical office setting.  This role routinely uses standard office equipment such as computers, phone, photocopiers, filing cabinets and fax machines
  • This position requires manual dexterity, the ability to lift files and open filing cabinets
  • This position requires sitting, bending, stooping or standing as necessary
