Essential Functions

  • Provide high level support to the Vice President – Office of Technology Commercialization (OTC).
  • Schedule and coordinate meetings, events, and conferences.
  • Compose, type and edit reports, correspondence and legal documents.
  • Receive and screen telephone calls.
  • Create presentation materials for the Vice President.
  • Create spreadsheets for data analysis.
  • Create quarterly metric reports for university leadership.
  • Manage budgetary items as needed.

Additional Responsibilities

  • Office Support       
    • Maintain electronic files.
    • Provide organization to offices and work areas.
    • Communicate with a wide variety of University personnel, clients, government officials, attorneys, and CEO/Presidents of businesses.
    • Sort and distribute all mail and assign postage for U.S. mail including certified and priority and mail items as needed for office.
    • Provide semi-annual reports to Purdue departments.
    • Enter necessary credit card charges into database and assist OTC staff in matching credit card receipts with statements.
    • Order all office supplies.
    • Maintain OTC beverage center and coffee area.
    • Manage parking passes.
  • Meetings                                                                                                                                          
    • Compose minutes from various meetings.
    • Schedule and coordinate conference calls.
    • Prepare and provide materials for conferences and meetings.
    • Coordinate events and materials leading up to and after an event.
  • Travel
    • Coordinate travel, including conference registrations, overnight accommodations, flights and rental cars for Vice President.
    • Track mileage and expenses and assist with travel expense reimbursement.
  • Other duties as assigned.             


Knowledge, Skills and Abilities

  • Proficiency in MS Word, Excel, Outlook and PowerPoint required. 
  • Experience in electronic calendaring, planning meetings and coordinating schedules required.
  • Must have the ability to stay organized, take the initiative to solve problems and handle multiple and varied tasks while meeting deadlines. 
  • Excellent organizational, problem-solving, computer, written and verbal communication skills required.
  • Ability to work independently as well as in a team environment.
  • Motivated team player.
  • Ability to manage, coordinate and follow through on multiple tasks.
  • Self-starter, detail-oriented, able to work successfully with co-workers, academic scholars, entrepreneurs and industry executives.
  • Regular and reliable attendance are requirements of this position.



  • Bachelor’s degree is preferred; an equivalent combination of education and experience will be considered.
  • Three to five years in a responsible, high-level administrative position.
